Step 2: Have These Two Things Ready Before You Start

Application ID
This is NOT your Application Reference Number. The Application ID is the number printed on the receipt that VFS Global gave you when they physically accepted your documents. It typically begins with your country code, for example “USA-XXXX” or “CAN-XXXX”. Find that VFS receipt before you sit down to check.

Passport Number
Use the same passport number you submitted with your application — your current, valid one.

Step 3: Understand What Each Status Message Actually Means

This is the part where most applicants get confused or start to panic. The messages are vague and give no indication of how long each stage takes. Here is what they actually mean in plain language.

UNDER-PROCESS

What it means: Your application has been received and is currently going through initial document verification and background checks at the consulate or embassy.

What to expect: This is the longest stage of the entire process. It can last anywhere from four weeks to several months, depending on your country, the time of year, and current application volumes. There is a well-known “black hole” period during this stage where the status simply does not move for four to six weeks. This is completely normal. The system is working in the background even when nothing appears to be updating on screen.

What not to do: Do not call or email the consulate asking for an update. The staff at the consulate can see the exact same portal you are looking at. They have no additional information. Calling them wastes their time and yours.

 PROCESSED

What it means: Your application has been approved at the local consulate or embassy level and has been forwarded to the Ministry of External Affairs (MEA) in New Delhi for final approval and OCI card printing.

What to expect: This is a positive milestone. However, do not expect instant movement after this. The MEA handles applications from around the world and maintains a queue. It is completely normal for the status to sit at “Processed” for two to four weeks or longer before the next update.

DISPATCHED FROM MEA

What it means: Your OCI card has been printed in Delhi and has physically left the MEA facility. It is now in transit toward your local Indian consulate via international shipping.

What to expect: Do not be alarmed if VFS Global tracking shows nothing yet. The “Dispatched from MEA” trigger fires the moment the card leaves Delhi. It still needs to clear customs, complete international shipping, arrive at the consulate, and then be handed over to VFS for sorting. This entire logistics chain can take seven to ten business days. The gap between the Government portal updating and VFS tracking showing movement is completely normal.

DOCUMENT RECEIVED AT YOUR CONSULATE

What it means: Your physical OCI card has arrived at your local consulate and has been handed over to VFS Global.

What to do next: This is the update you have been waiting for. Once you see this status, the Government of India portal has done its job. Switch to VFS Global tracking immediately for the final delivery step.


Step 4: Switch to VFS Global Tracking for the Final Mile

Once your status reads “DOCUMENT RECEIVED AT YOUR CONSULATE,” VFS Global takes over completely. They are responsible for the last step — either arranging courier delivery to your address or notifying you that the card is ready for pickup.

To track on VFS Global, you will need:

  • Your VFS File Reference Number
  • Your date of birth

Go to the VFS Global website for your specific country and use their passport tracking or application tracking tool. This will show you whether your card is ready for collection or has already been dispatched by courier.

Lost your VFS File Reference Number? First, search your email inbox for any communication from VFS around the time you submitted your physical documents — the reference number is usually included in that email. If you cannot find it, contact VFS Global support directly. Be ready to provide your full name, passport number, and date of birth to verify your identity.

How Often Should You Check?

Checking every day is pointless and will only increase your anxiety. Status updates happen infrequently — in most cases, no more than once per week.

Set a reminder to check once a week, on a consistent day like Friday. That is enough. Outside of major status changes, nothing will be different from one day to the next.
